NAVIGATING A SUCCESSFUL PROPOSAL PROCESS PART 2 OF 3 - The Writers For Hire

NAVIGATING A SUCCESSFUL PROPOSAL PROCESS: PART 2 OF 3 We’re Going Forward. What Next? The Go/No-Go meeting was held, and the decision’s been made: Your company is going forward with the proposal. Now the ball is back in your court. You’ve managed a proposal team before, but the contract was simple and called for far fewer resources. This one will require input from several divisions, and somehow, they all need to coordinate on a single 100-page document in just a few short weeks. You know the first step is setting up your team, but you’re not sure who should be on it. What resources do you need, and what should they do? Choosing the Right Team We asked a series of experts on proposal writing for some tips and best practices on setting up proposal teams. Meet our experts: Stephanie Hashagen Professional writer who frequently works on clients’ proposal teams Dan Hewitt Process safety specialist who participates on well-orchestrated proposal teams using a proven approach at a major engineering firm Marion Winsett Career sales manager in oilfield equipment who has negotiated contracts and written countless proposals They gave us some time-tested advice, starting with a very important key concept: Be realistic. It’s easy to put together a team based on a best-case scenario. It’s much safer to put together a team based on a real-life scenario.Tweet this That is, assume the RFP will take more time than you think, and your team will have less time than they think. â€Å"It’s imperative you choose individuals who are capable of responding quickly to the proposal time constraints,† Hashagen says. â€Å"Be sure they don’t have too much on their plate, and consider whether their other responsibilities might require them to address something unexpected that is time critical for another client.† The size of your team will likely depend on the size of your company and the complexity of the proposal. However, for most proposals, eight key roles must be filled. Proposal manager Sales team representative Contract manager Subject matter experts Estimator Writer Graphic artist (optional) Editor A few of your team members may wear more than one hat, but Hashagen advises, â€Å"Remember to be realistic and be sure there are enough people on the team to meet the deadline.† Proposal Team Roles A. Proposal Manager Who is in charge of getting this proposal to the finish line? Since you brought the proposal this far, you might be the assumed leader for this proposal project. But keep in mind that you may not be the best choice for the role of proposal manager. To be fair to yourself and your team, you must consider your strengths and the demands on your time: 1) Are you extremely detail-oriented, comfortable with pestering people, and used to juggling tight schedules on a day-to-day basis? 2) Are you managing other proposal teams, or are there significant demands on your time outside the proposal process such as managing other projects or generating sales? You must be able to answer yes to the first question and no to the second before you should consider yourself for the role of proposal manager. Failure to consider these questions honestly can result in a proposal that looks and reads like it was hastily put together. Hashagen goes on to outline the proposal manager’s responsibilities: Managing the schedule to make sure all deadlines are met Tracking the progress of each part of the proposal package Maintaining close communication with everyone, including subcontractors, who will provide information for (or write sections of) the proposal Collecting the information and the draft documents and distributing them to the right parties, or, if documents are to be routed and tracked in a document management system, ensuring that the information is relayed by the deadline and tracked in the system Providing the reviewed and revised input to those who will produce the final version of the proposal Distributing the package to the final review team Ensuring that the final review comments are provided to the proposal writers, the final proposal package undergoes a rigorous proofreading process, and the proposal is delivered on time. B. Sales Team Representative Hewitt emphasizes the importance of having someone from your sales force on the team. â€Å"A person involved in external sales can provide important information about the company issuing the RFP. A person in inside sales lends experience in the proposal process and the proper organization, formatting, and template (if any). Either one can review the finished package with an experienced eye.†    C.  Contract Manager Not to be confused with proposal manager, this person is the individual designated to manage the project once the contract has been won. Depending on the demands of his or her current project, the contract manager may or may not be expected to participate on the proposal team. â€Å"In instances when the contract manager is too heavily involved in another project to participate on the team, the proposal manager relays team members’ questions to the contract manager and provides information from the contract manager to the team,† Hashagen says. D. Subject Matter Experts (SMEs) Select an SME from each discipline who will be involved in project delivery if the contract is won. â€Å"The SME may simply provide the necessary information for a particular section or sections of the proposal,† Hashagen explains. â€Å"Or the SME may actually write the initial drafts of the sections pertaining to his or her discipline.† SMEs participate in proposal team meetings so that important questions aren’t overlooked. Interdisciplinary communication improves the consistency and accuracy of the initial drafts. The combination of the SMEs’ expertise and experience is the reason your company should be chosen above your competitors. E. Estimator or Proposal Finance Manager This person is responsible for providing the projected costs that the RFP requires. If the estimator or proposal financial manager does not participate on the team itself, the person in this role is still responsible for providing the numbers to the proposal writers and for proofing the final proposal to ensure the accuracy of the financial data. F. Writer Your proposal package must be cohesive and written in a single voice. Although there are multiple contributors, someone must write the proposal so that it is properly organized, precisely stated, and consistent. In addition, the writer ensures that the proposal has an executive summary, a table of contents, and a conclusion, as well as a list of tables and figures and a list of related documents when required. If your business employs a writer or communications specialist, that person may serve as the writer. If not, a writing agency can be contracted for this role. How the writer proceeds will be determined at your first meeting. On some proposal teams, the proposal manager funnels all the information to the writer in the form of SME-drafted content and financial data. G. Graphics Artist (optional) If your template requires custom artwork for each proposal or you are preparing your first response to an RFP, you may need a graphic artist. This team member ensures that logos, illustrations, workflow diagrams, and organizational charts are attractive, consistent, and accurate. In an article for Entrepreneur called The 10 Things You Need to Know When Responding to RFPs, George Debb, managing partner at Red Rocket Ventures, suggests, â€Å"Intersperse the companys logo and images throughout the presentation so you look like you put customized work into your response, tailored just for your recipient.† H. Editor A capable editor carefully proofreads the final package with a fresh set of eyes. Significant errors in the proposal may cause the potential client to question whether your approach to the project itself will be less than fastidious. The editor must carefully double check the entire proposal to ensure that every deliverable requirement and every stipulation in the RFP has been addressed. Addressing the Need for Outside Resources It is likely that you addressed the need for additional resources in your early discussions with key personnel within your company, and also during the Go/No-Go meeting. (See our first blog post in this series, â€Å"â€Å"To Bid or Not To Bid.†) If subcontractors are required, a team must be assembled to source and select the contractors. This team is often independent of the team writing the proposal and may be members of your sales force, as they likely have existing relationships with the subcontractors. This selection team must begin its work as soon as the decision has been made to proceed with the proposal. When selecting a subcontractor, your selection team should consider how much of the proposal you’ll need the subcontractor to handle. Winsett stresses the importance of working closely with the subcontractor(s). â€Å"The (proposal) team and the subcontractor must agree to the terms in the RFP. Terms stipulated in the RFP that the subcontractor sees as roadblocks must be addressed immediately.† Depending on the complexity of the contract, the subcontractor selection team or some of its members â€Å"may be required to work with the subcontractors throughout the proposal process,† Winsett adds.    Providing for Content from Sources Outside Your Company If the only information from outside sources is the cost of materials or hourly rates for extra resources your employees will be managing, the proposal team’s estimator can furnish that data. In cases where the subcontractor contributes expertise or unique solution, the subcontractor may need to provide   proposal content. In that case, the proposal manager will transmit their contribution to the appropriate SME for review and to the writer for editing. Next in this Series: Ensuring a Successful Kickoff    Now you’re equipped to map out the key roles your proposal team should include and identify the optimum people to fill them. You also have the information you’ll need to help your team members understand exactly what they’ll be expected to do. Now all you have to do is hold a kickoff meeting with your team to get the proposal process in gear. What should you cover? How can you avoid missteps — and the risk of confusion, communication failures and missed deadlines? Read the third blog in our series to learn how to prepare for your kickoff and what you’ll need to cover to give your proposal the best possible chance of succeeding.

Erikson’s eight stages theory Essay Example

Erikson’s eight stages theory Essay Example Erikson’s eight stages theory Essay Erikson’s eight stages theory Essay Erikson’s eight stages theory have been one of the most popular in developmental psychology and in the study of human development. The eight stages he identified corresponds adequately to the major life stages that each of us pass through; infancy (birth to 18 months), early childhood (18 months to 3 years), play age (3 to 5 years), school age (6 to 12 years), adolescence (12 to 18 years), young adulthood (18 to 35 years), middle adulthood (35 to 65 years) and late adulthood (65 to death) (Boyd Bee, 2006). Erikson’s major contribution is in the virtues that a person must gain in each stage as a developmental task that would enable the person to succeed in the succeeding stages (Boyd Bee, 2006). The theory describes very real situations that each person experiences one way or another within his/her lifetime. The underlying motivation for a person’s behavior in a given stage is based on his/her need to resolve the developmental issues of that particular stage, thu s an old man who is always grumpy and unhappy and difficult may have not been able to accomplish his goals and dreams and hence he behaves in that way. Another example is when an adolescent striving to form her own identity experiments and try out different things in order for her to determine who she is and what she wants to be, thus explaining risk taking behavior prevalent in adolescence. The strength of the theory is that it is a common sense approach to the study of human development. It is a reality that life progresses in a series of stages, and as a person grows older, his/her interests and goals also change, if the young adult was consumed with wealth, power and prestige, then late adult is more focused on relationships, friendships, spirituality and others. Erikson’s theory is based on what is normal, what is expected of each person at a given stage, and what should a person achieve in order to become successful. The criticisms of the theory center on its inability t o explain those who deviate from the stages, for example, the mid lifer who have remained unattached, single and without children who is successful and happy, another example is the couple who have married early in their teens and by 35 is already in the empty nest period. The theory’s weakness also lies in the emphasis it gave on the need to resolve the developmental tasks in a given stage in order to be successful in the next (Newman Newman, 1999), there are cases when someone chooses to be single all their life, does it mean they would be unhappy because they are not married, or the young adult who decides not to have children and focus on her career not be as fulfilled as those who had children? Lastly, the theory is based on the social norms and expectations of American life, in fact when inspected closely, the theory mirrors the American dream perpetuated in the 1960’s. it is not culturally sensitive, it does not account for variations within a society nor is it applicable to the more fast paced and complex society of today, how can the theory live up to the fact that more and more people are delaying marriage and parenthood, or that the elderly still have their careers and actively living their lives.Nonetheless, Erikson’s theory of development (1950) offers a basic explanation of the human life-span and the characteristics for its stage, he was able to identify the most salient factors in each stage, the most relevant theme for each developmental milestone and also offers a complete stage theory from birth to death which very few theories have been able to do.

Computer Project Essay Example | Topics and Well Written Essays - 1500 words

Computer Project - Essay Example The aim of this paper is to thoroughly examine the issue of web sites, by using three in particular: Moodle, ATutor, and EduTools. By discussing the relevant issues of these three sites, we can come to a clearer and more knowledgeable understanding of the subject matter at hand. This is what will be dissertated in the following. This website is a course management system, and considers itself to be "a free, open source software package designed using sound pedagogical principles, to help educators create effective online learning communities." (Moodle, 2006). The basic information that this site tried to cover was the presenting of facts, as well as the stating of certain opinions. All the information appeared to be kept up-to-date, and although the layout was rather simple and basic, it was direct and provided the information it needed to. This site presented a balanced view of many different perspectives, while remaining to be consistent in its manner. It was extremely easy to navigate through this site; whether you had visited this site before or not, it is laid out analytically in order to coincide with easy navigation. The information on this site was in regards to the services it offers, which is online tutoring. ATutor is "an open source web-based Learning Content Management System (LCMS) designed with accessibility and adaptability in mind." (ATutor, 2006). This site offered an incredible array of information, as well as a variety of forums, projects, and discussion topics. The site was simplistic and straight forward yet detailed and full of information. The site presents the audience with a completely balanced view, especially due to the vast array of topic selection. There was even a questionnaire which was asking visitors questions in an attempt to better the site to fit people's needs. The site was incredibly easy to navigate, and flowed together impeccably. The design, the layout, and the wording were all dynamic and interesting - both incredibly important elements in a web page, because this is what will get visitors to stay and check it out. My overall opinion of this site is a positive one. I found it visibly appealing, easy to navigate through and yet at the same time indefinitely informational. In regards to how the site could be improved, I actually do not believe there is any sort of adjustment that should be made. The site discusses thoroughly about its products and services, why you should get these products and services for yourself, and on the home page alone answers any and all basic and fundamental questions about its system. Easy navigation, an overall appealing web design layout, and proper update maintenance makes this site close to impeccable. EduTools This final site was definitely my least favorite of the three. The home page is incredibly basic and drab, and there is not enough information offered. The site presented a brief summary of the facts, stating that "EduTools provides independent reviews, side-by-side comparisons, and consulting services to assist decision-making in the e-learning community." (EduTools, 2006).

How a firm can make an entry into EU economic zone Essay

How a firm can make an entry into EU economic zone - Essay Example According to the research, European Economic Area was established in 1994 in order to facilitate trade between different member countries and to outline a uniform framework for member countries to actually trade with each other without any significant barriers to entry. In order to make a successful entry into any new market, it is important that the international firms must take into consideration particular factors related to that economic zone. Each zone has its own unique characteristics in terms of its demographics, culture, economics, legal framework, political environment as well as other issues which can directly have an impact on the organization and the way it is going to operate in that region. EU shares a larger cultural heritage which is relatively similar across all countries with most of the countries speaking either German or French with English being dominating language in the UK only. The cultural similarity coupled with integrated economic zone has actually made it easier for international firms to actually make an entry into this region. However, due to the uniqueness of the culture, economic integration, geo-demographics as well as legal and social factors, new businesses can easily tap into the great potential offered by EU economic zone comprised of many countries of the region. Increasing economic burden on the countries like UK and Germany to actually pay off for the sovereign debt of countries like Ireland, Greece, Spain, and Italy making it difficult for these countries to actually normalize political pressure in their own home countries.

Critical Analysis of Sustainabilty in Marketing Essay Example for Free

Critical Analysis of Sustainabilty in Marketing Essay Focus on sustainability has appeared on the face of the earth over the last ten years and a lot of books and articles are published on the topic of sustainability. Early on, John Elkington developed and promoted the concept of â€Å"Triple Bottom Line† in his book Cannibals with Forks: The Triple Bottom Line of 21st Century Business which was published in late 1999 (Creating a Sustainable Organization: Approaches for Enhancing Corporate value through Sustainability By Peter A. Soyka, Pg. 1) The concept of sustainability is transformed to cover three basic components known as the Triple Bottom Line which are complexly linked to one another: profits-it is the economical part that balances financial growth with awareness and concern for the social good and environmental stewardship; planet-it is the environmental part that safeguards and preserves the natural qualities of our ecosystem for the benefit and health of future generations; people-it is the social equity part that safe guards the benefits of opportunity and equality for every individual. See more: how to write a critical analysis essay step by step The growing importance of sustainable development establishes a significant and developing challenge for environmental economics and natural resources. This challenge is such big that if it is not measured and controlled then it will ruin the life of the future generations that’s the reason why every field now a days strive to work hard to have Sustainable Value Creation (SVC). The question arises what is sustainability, a more relevant answer is provided by The Brundtland commission (1987) which says to be sustainable is to meet the needs of the present without compromising the ability of future generations to meet their own needs. While this looks clear but if we observe it thoroughly and closely there are some complications and difficulties in it (Smart Green: How to Implement Sustainable Business Practices in Any Industry-and Make Money By Jonathan Estes page 6-8). The first problem which is a marketing problem is in the needs of the present and no one today knows of what level of needs we are talking about. The second difficulty is an ethical question that relates to the future and intergenerational justice, how we know what the needs of the future generations will be and how far do we look into the future? These two questions i.e. marketing and ethical must be explained much more clearly and  precisely than the definition of the sustainability suggests. The world economies currently face many challenges in the domain of public and commercial policy and one of the most crucial challenges they are facing is sustainable development. According to the projections of United Nations (UN) on population growth, the population of the world will most likely reach nine (9) billion people by the year 2050 with most of the growth taking place in emerging and developing countries. It is the commitment of UN to improve environmental and social performance associated with sustainable development. It seems that it is highly unlikely to achieve the goals set by the UN with current unbalanced consumptio n, marketing and production practices. KEY IDEAS OF SUSTAINABLE MARKETING: SUSTAINABLE CONSUMER BEHAVIOR Creating consumer demand for sustainable products and services is not an easy task because the consumers traditionally behave to maximize their own utility. Many consumers think that anything which is good for the entire society in the long term is always the best option for the individuals in the short term and unfortunately for most of the consumers the positive attitudes toward sustainable development is not shown in their actual consumer behavior and purchases. There are differences in what people say and what they actually do. Sustainable consumer behavior can be enhanced by positioning sustainable behavior with consumers’ self-interest and by making sure that this self-interest is understood and recognized thoroughly and can be acted upon (Encouraging Sustainable Behavior: Psychology and the Environment edited by Hans C.M. van Trijp page 3, 4). Consumers when they consume sustainably also behave in a way that shows or signals there superiority over others. Marketing efforts should be made to enhance sustainable consumption that leads to reduction in the trait of signaling instinct i.e. our inclination to signal to others that we hold valued traits. SUSTAINABLE MARKETING STRATEGY AND PRACTICE The objective of sustainable marketing is to include and combine the environmental concerns in the marketing effort; this means that if the consumers are given better, more complete and more concise information on the sustainable products offered to them this will drive more and more  companies to produce products and services that are good for the environment. Sustainable marketing can take the strategies of conventional marketing to promote sustainable products and services not only by labelling the green products but also from working with positioning strategies of product, promotion, price and placement and rigorously engaging in market creation by addressing a large number of customers. The company’s marketing strategy throughout the supply chain from product development to consumption should include sustainability in it. Many companies are focusing on the implementation of sustainable consumption; they are finding the ways to direct the people’s thinking to forthcoming challenges and problems by using different marketing and communication strategies that lead to sustainable consumption. Sustainable communication and marketing strategies can make the companies think of their long-term socio-economic influence and the long-term perspective of it; this will help the companies to tell the public about their future program without diminishing their present less environmental performance. EFFECTIVE SOCIAL MARKETING Effective social marketing is a community and pragmatic based approach; it brings very operative behavioral change. This approach has five steps i.e. prudently pick the behaviors to be promoted; identify the benefits and barriers which come with the selected behavior; form a strategy that uses the behavioral-change tools to understand these benefits and barriers; test the strategy on a sample of certain community; and evaluate the effect of the strategy when it is tested on a large scale (Design for Environment as a Tool for the Development of a Sustainable Supply Chain by Bevilacqua, MaurizioCiarapica,Filippo Emanuele Giacchetta, Giancarlo, pg 147). Social marketing is different from commercial marketing it takes into account the changes in behavior that contributes social gains while commercial marketing’s objective is to produce financial gains by selling products and services. There are five important areas where social marketing focuses very heavily and they are; communit y involvement, health promotion, environmental protection, financial well-being and injury prevention (Social marketing: A pathway to consumption reduction? Ken Peattie, Sue Peattie. Pg. 262-264) TRANSFORMATION OF TRADITIONAL MARKETING TO SUSTAINABLE MARKETING Marketing has now changed itself it has a sustainability feature in nearly all of the  marketing practices. It is now somewhat compulsory for the companies to consider sustainability in all of their strategic marketing practices and marketing mix. It is a very distinctive and objective task to integrate sustainability in the marketing strategy and at the same time it is not an easy task because marketing strategies are developed by taking into account the needs and wants of the costumers. Previously the companies only tried to fulfill the consumer demand whether it has an adverse effect on nature or environment but now more companies are forming sustainable marketing strategies that makes relationships with customers better by fulfilling their demands and results in good profitability of the company and have good impact on nature and environment. Paettie and Belz (2010) after years of research came up with the idea of 4C’s i.e. (Cost, Communication, Costumer cost and Costumer Solution) and tried to mold traditional marketing Mix i.e. 4P’s (Product, Price, Place and Promotion) into 4C’s (Evolution of sustainability as marketing strategy: Beginning of new era Vinod Kumar, Zillur Rahman, A. A. Kazmi and Praveen Goyal, pg 486-487). SUSTAINABLE MARKETING- CHALLENGES AND ISSUES Developing a sustainable marketing strategy is not an easy task because there are some issues and challenges that should be dealt carefully and prudently before going on with the strategy. The issue is what sustainability principles demand is that we need to conserve the resources and consume less of it and at the same time marketing principles demands to sell or produce more which means consume more natural resources (jones et al 2008). The challenge is how to balance this discrepancy and which means that sustainable marketing strategies should be developed that still result in profits but not creating negative impact on the society or environment. The process of arising of a problem and solving it is an ongoing process one may come up with an idea or solution to an issue but there would be some problems with that solution too (Charter et al 2006). A good thing of sustainable marketing is not only competitive advantage but it also gives rise to innovation and reduction in costs. CONCLUSION The Marketing concept now has redefined which was acknowledged only as a functional concept and this concept is now dying and losing its grip on the  world stage. Now the redefined concept of marketing is strategic business concept that is intended to attain sustainable satisfaction for the three main players or stakeholders i.e shareholders, the costumers and people in the organization. The concept of sustainability marketing strategy started from ecological issues has now come to discuss sustainability issues. A company may have a sustainable marketing strategy if it involves sustainability in its business practices especially the marketing practices. The companies have to resolve the traditional issues and challenges which come in the way of implementing sustainability in their marketing strategies and then it will be a win-win situation for both the costumer and company. It has now becoming an informal moral obligation for a company to be sustainable. In this new era marketing and in the future, the companies have to be sustainable to compete on the world stage.
